Rockwater Wedding Countdown Checklist

One Year

  • Take a tour of the Resort and have an initial meeting with the Weddings and Events Manager
  • Set your date
  • Submit deposit and sign your contract
  • Arrange for rooms to be held for your group
  • Choose which room you would like for yourselves
  • Will you be staying apart the night before the wedding?
  • Choose the bridal suite and decide which room the groom will use for dressing and preparation
  • Book your marquis tent

6 Months

  • Send out your invitations
  • Be sure to include the website for the Resort with instructions for your guests to call the Resort directly to book their accommodations (Accommodations for Wedding Guests cannot be booked online)
  • Arrange for an overnight visit to Rockwater
  • Meet with the Weddings and Events Manager to go over the details of your day
  • Meet with potential vendors here on the Sunshine Coast:
    • Florist
    • Hair & Make up
    • Photographer
    • Musician / DJ
    • Wedding Cake
    • Wedding Commissioner

4 Months

  • Make your final decisions on vendors and submit appropriate deposits, contracts etc
  • Book any accommodations you require for your vendors

3 Months

  • Decide on your menu and communicate this to the Wedding and Events Manager
  • Keep an accurate count of your RSVPs and any dietary requirements your guests may have

2 Months

  • Contact reservations to check your rooming list
  • Take care of any final accommodation requirements
  • Communicate if you are paying for any guests' or vendors' accommodation; this is when all unclaimed rooms from your block will be released for general sale

1 Month

  • Using your RSVPs start creating your seating plan
  • Plan how you will indicate food selection for each guest
  • Put together an itinerary for your day
  • Ask those you wish to give speeches or toasts to prepare
  • Call the Spa Director to discuss a relaxing couple's massage before the wedding or perhaps pedicures for your bridesmaids as a thank you gift

2 Weeks

  • Arrange with Resort to deliver any gifts for your guests to be left in their rooms for arrival
  • Submit your final numbers, seating plan, vendor list and itinerary to the Weddings and Events Manager
  • Give your MC a list of people who are speaking and the itinerary, including cocktail reception, dinner, first dance, cake cutting, who to thank, etc
  • Assign small tasks to family & friends:
  • placing decorations and centrepieces
  • place cards and seating chart
  • slide show & music
  • guest book
  • securing gifts at the end of the night
  • returning any rentals the following day

Day of Arrival

  • Check in time is 4:00
  • Have a meeting with your Wedding and Events Manager to go over the details of your day
  • Arrange delivery of any gifts to be left in guests rooms for arrival
  • If you are changing rooms on your wedding day, arrange for this with the Front Desk
  • Confirm time and place of any spa treatments you have booked
  • Make sure the equipment for slide show and music is tested out
  • Relax, enjoy yourself, and let us take care of the details from here!!!
To Everyone on the staff,
Words can't describe how perfect our wedding was.  The location was absolutely stunning.  It was so neat to just relax in the Adirondack chairs after the ceremony and see our guests enjoying themselves on the terrace, the lawn, down by the ocean...everywhere.  It was perfectly magical.  The staff at Rockwater are amazing and so helpful. Rhian was there from the start to finish and even stepped up to "fluff" my dress before walking down the aisle.  All of our guests have said over and over again that it was the best wedding they've ever been to and are still talking about it two months later.
